2024 Election Process

2022 Rules Update

The Election Committee and the Board of Directors completed an update of the Montage Election Rules ( 2022) for use in the 2023 election. Updating the Election Rules was necessitated by changes in state law effective January 1, 2022, and member comments received. The updated Election Rules include several new provisions and generally extend the election process to include more steps, greater opportunities for membership inclusion, and longer timeframes to complete the process.  One of the most significant changes involves including a  method of election by acclamation, which can occur when the number of nominated candidates is equal to or less than the number of board positions open for election. Election Rules are updated as required by changes in State law and the needs of the Board of Directors and membership.  All significant revisions of the Election Rules must be sent for review and comment of Association members.

Board Appoints Inspector of Elections

The Association election process follows the Election Rules and other provisions contained in the Montage Bylaws and CC&R’s which can be found on the Governing Documents page of this website or by CLICKING HERE.  These documents are subject to change after the approval of the Board and the Membership.

The election process generally begins no later than the September Board Meeting when the Montage Board considers the appointment of an Association Member as Inspector of Elections for the elections to be held in March of the following year. The Inspector of Elections may be assisted by up to two additional qualified homeowners appointed by the Inspector of Elections or by non-members meeting the requirements for Inspector of Elections as may be hired by the Board to fulfill that responsibility. The Community Manager is relied upon to assist with some administrative tasks assigned by the Inspector of Elections.

Board of Directors Nominations

Nominations for the Board of Directors open in September at the September Board Meeting. There are five Board positions. Three Board positions are elected in odd-numbered years, and two positions are elected in even-numbered years.  Board members are elected for two-year terms.  There are no term limits for Board Members.

MiIndividuals interested in being nominated or in self-nominating themselves must complete a Board of Directors Application Form and submit the form along with 1.) a brief bio, 2.) a brief candidate’s statement of interest, and an electronic head and shoulders image/picture of themselves. (separate documents) Candidates are notified within seven to ten days of receipt of their nomination package and certification of their qualifications to run for the Board.  Nominations for the Board close in late December, and the Board certifies the candidates and the ballot at its January meeting. Disqualified candidates are provided the opportunity for internal dispute resolution upon consideration of the parameters for candidate disqualification set out in the State law.

Ballots are distributed to property owners (one per ownership) in mid-February and are due by the close of voting at the March General Membership Meeting.

Important Election Schedule Dates

The Board sets a date for the Annual Homeowner Meeting and Election ( usually a Saturday in late March)  at or before their September Board meeting. The following general timeframes/events have been established in compliance with State Law and election-related provisions contained within Montage Election Rules and other governing documents.  Dates are approximate and subject to change. Early September – September newsletter announces the opening of the Board election process.

Early September – Board sets a date for Annual Homeowner Meeting and Election and appoints an Inspector of Elections at September Board Meeting

Late September – Distribution of Notice of Annual Election of Directors, Nomination Procedure, and Nomination Deadline and Self Nomination Forms

Mid-November –  Board approves the preliminary Owner / Voter and Candidate Eligibility List at November Board Meeting,

Late December – Board Nomination Forms Due to Community Manager

Mid-January  – Board approves Board candidates and election ballots at January Board Meeting

Mid-January thru Mid-February – Voter List is available for viewing. (Homeowners may review the accuracy of their individual information on the voter  list at Personalize Property  Management Offices.)

Mid-February  – Ballots mailed to Voters List

Late March – Ballots Due – Annual Homeowner Meeting and opening of the ballots
